Mobile forms for field service

Send field expense reports and receipt photos from the job

Enter the job, date, expense category, amount, and notes on a phone, photograph the receipt, then send the expense report to the office for review and processing.

Build the expense report while the receipt is still in hand

A technician can finish a job beside a bucket truck, open the expense form, and enter the cost before the receipt disappears into a pocket or service vehicle. Photograph a fuel receipt, parking slip, toll, or other bill with the same phone.

The report goes to the office with the job number, expense category, amount, notes, and receipt photo already together. No one has to match a loose receipt to a handwritten report later.

Record the job, amount, category, and notes

Build the form around the details accounting and field managers use. A practical record can include the employee, customer or job, date, expense category, amount, payment method, and a short note about the purchase.

Employee and job
Connect the expense to the worker, customer, project, or job number.
Date
Record when the field purchase or charge happened.
Expense category
Choose fuel, parking, toll, lodging, materials, or another configured type.
Amount
Enter the cost shown on the receipt or bill.
Payment method
Record the configured card, cash, account, or reimbursement detail.
Receipt photo
Keep an image of the supporting receipt or bill with the report.
Put the expense details and supporting image into the same field record while the information is close at hand.

Photograph receipts and bills on the phone

The technician can use the phone camera to photograph the receipt or bill and attach it to the configured report. Take the picture while the paper is flat, well lit, and fully inside the frame so the office has a useful copy.

The photo supports the entered amount and category. It does not replace your company's rules for approvals, original receipts, card use, or reimbursable expenses.

Send the report to the office for review and processing

After the technician submits the form, authorized office staff can open the report in the web dashboard. They can check the job, cost, category, notes, and receipt image, then process it or return it through the configured workflow when something needs correction.

  1. 01Open reportStart the expense form on a supported phone or tablet.
  2. 02Enter expenseAdd the job, date, category, amount, and note.
  3. 03Photograph receiptAttach a clear image of the supporting paper or bill.

  5. 05Office reviewCheck the details and receipt against company rules.
  6. 06Process or returnContinue the configured approval step or request a correction.
The receipt and entered expense travel together from the field technician to office review.

Review expenses by worker, date, or category

Authorized staff can review individual and grouped expense records using the fields available in the setup. Filters or reports can help show costs by time, employee, job, customer, or expense category.

The exact approval process, filter choices, export, and report format depend on the configured account and workflow.
