Use QR Inventory Voice commands

Quick Reference

Ask about stock or items — just ask, in your own words:

• "Where do we have pumps?" · "How many light bulbs do we have?"
• "What do we have in Boise warehouse?" · "Show details for pump PX-100"
• "Show all items with voltage 120" · "What is allocated for job XYZ15?"

Works on every screen: "Back" or "Close" — go back · "Home" — main screen · "Clear" or "Start Over" — reset the screen, "Scroll Up / Scroll Down" - scrolls up or down

Run a transaction: say "Start transaction". While transaction view is open, the app listens only for transaction commands:

• "Transaction Type" — opens the type list; say the type's name
• "From location B27" · "To location B27" — set locations or assemblies; when a list opens, say the option's name, or "Cancel"
• "Next" — continue · "Clear" — cancel

On other screens, every button and field is speakable:

• Press a button by saying its name, or "button" + its name — "Submit", "button Preview"
• Fill a field with "set job number to XYZ" (or "button job number XYZ"); "clear job number" empties it · say just "button job number" to pick the field, then speak the value - where "job number" is the field name
• To take, select, view or remove a photo, say "take/select/show/delete photo" plus a number or the field's name if there's more than one (e.g. "show photo 2" or "show photo of front view") · to view a PDF where available, say "show pdf"

Scanning works alongside voice: say "Scan" wherever a scan button is shown to open the QR scanner.

Fix a misheard command: everything you say appears in the text box — correct it by typing, then say or tap "Process Command". "Clear Text" empties the box.

QR Inventory — App Functionality Reference

This guide describes every screen in QR Inventory: what you can tap, what you can say, and how the app understands your voice commands.

Voice works entirely on the phone. The app answers with short messages on the screen rather than speaking back, so you can keep working.

1. How voice works (5-minute orientation)

The mic button

Every screen you can use by voice has a microphone icon at the top.

• Slashed grey — the mic is off.
• Solid red — the mic is on and listening. Speak normally.

Tap the icon to turn the mic on or off. The app remembers your choice, so the next screens start with the mic the same way. The Home screen always turns it back on.

What the app shows you while listening

A small italic teal banner appears at the top of the screen with the live transcript as you speak. You can read it to confirm the app heard you correctly. If it's wrong, just start speaking again - the new utterance replaces the old one. The banner auto-dismisses about 3 seconds after you stop speaking, or when the app's reply replaces it with a result/error notification.

How the app understands what you say

When you stop speaking, the app checks what you said in this order:

1. Commands that work everywhere — back, home, clear, start over, scan, submit. These always come first.
2. Buttons and fields on the screen — say a button's or field's label, or button and the label, and the app taps it. For example: submit, button next, sync with server.
3. Inventory requests — anything else is read as a question or request, such as show me pumps, info on QB-35 or do a transfer transaction.

Universal commands (work everywhere)

These work on every screen you can use by voice, even while a message or a list is open:

When the app asks you to confirm, say yes / yeah / yep / confirm / ok to go ahead, or no / nope / cancel / abort / stay to stop.

Behaviors worth knowing

• Live transcript — what you say appears in an italic teal banner at the top of the screen as you speak.
• Spoken IDs wait for you — on Scan or enter an item, a spoken ID fills the field and waits; say next (or tap Next) to look it up. That gives you time to check it was heard right.
• Searches start by themselves — on Search by keywords, the search starts about 2 seconds after you say what to look for.
• Typing comes first — once you type in a field, voice won't overwrite it. Clear the field to let voice fill it again.
• Filling a field by voice — say button and the field's name, then the value (button item id … 1001).
• Misheard IDs — if a spoken ID isn't found, the app automatically tries again with the characters speech most often confuses: 0 and O, 8 and A.

Sign in

Purpose — Authenticate against the QR Inventory server with username and password. First screen on a fresh install.

What you'll see

• App logo
• Username field with a QR-scan icon next to it
• Password field
• Login button
• Logout button (clears stored credentials)
• Settings button (opens the server-URL configuration screen, use only if tech support instructed you to)

Doing a transaction

Home — start a transaction or look up an item

Purpose — The main voice screen. From here you check stock, look up items and start transactions. It shows what you said and the result of your last request.

The mic always turns on when you arrive on this screen.

What you'll see

Top bar (teal):

• Help icon (opens this help)
• Title "QR Inventory Voice Home"
• Mic icon (turns voice on or off)

Below it (scrolls):

• A hint with example phrases
• The text box with what you said, and an × to clear it — you can also type here
• "Process Command" button (appears after you edit the text)
• Results area (appears after a request):
  • A summary of the request
  • Cancel button (while the app is still looking something up)
  • Yes / No buttons (when the app asks you to confirm a correction)
  • Result cards
• "Sync with Server" button (downloads the latest locations and transaction types)
• Action list (choose what you want to do — see below)

When you choose a transaction:

• Transaction Type button → list of transaction types
• From / To location buttons → lists of locations or assemblies

One item by its ID

If a spoken ID isn't found, the app automatically tries again with the characters speech most often confuses (0 and O, 8 and A).

When a list is open

• Transaction types: say the type's name (Receive, Transfer, Quality Check …); it doesn't have to be exact.
• Locations: say the location's name (B27, Boise, idaho 340 b); capitals and dashes don't matter, and misheard characters are tried too.
• From / To text fields (sites, containers, people): say from location warehouse 5, to B27, set from to B27, from is B27 and so on — "from" and "to" are left out of the value.

Buttons you can say — say the label, or button and the label:

Transaction details (date, job, contact info)

Purpose — Fill in the transaction's details (job number, customer, photos, dates and so on) before you scan items. The fields depend on the transaction type.

What you'll see

• Mic icon at the top
• A form with lists, text fields, fields that suggest values, dates and photo attachments. Required fields are marked (*).
• Date pickers (calendar icon)
• Photo fields with camera, gallery, view and delete icons
• "Next: Scan Item(s)" button (goes to Scan or enter an item)

Field names don't have to be exact. Say dates naturally: set expiry to december 31 2025.

Say a field's label to go to that field. Say next, submit, proceed or scan items to continue.

scan / scan code opens the scanner for the form's scan field.

Scan or enter an item

Purpose — Add an item by scanning it, typing or saying its ID, picking it from a list, or choosing a transaction group.

What you'll see

• Mic icon at the top
• Flash button (the flashlight, used by the scanner)
• Barcode field with an × to clear it
• "Scan QR or Barcode" button (large, with a QR icon)
• "Next" button (looks up the entered ID)
• "Search Items By Keyword(s)" button (when checking stock, looking up items, or in a transaction)
• "Select Item" list (in a transaction, and in initial entry)
• "Select Transaction Group" list (in a transaction)
• "Go to Transaction Products" button (once the cart has items)

After a scan in a transaction you come back here with a note such as "Pump added, qty 1"; you can then say a new quantity or scan the next item.

Other things you can say:

• An item ID — up to 24 letters and digits, with at least one digit (ABC123, item007A, P-5001). It fills the barcode field and the app shows "Say next to proceed": a spoken ID is only looked up when you say next (or tap Next).
• A spelled ID — say letters and digits: the spaces are removed, dash and slash become "-" and "/", "hey" is read as A, and phonetic-alphabet words as letters (alpha quebec bravo 60 dash 1 → aqb60-1), as on Search by keywords. This works for spoken IDs, for button barcode / button item id, and for IDs passed on from the Home screen.
• An ID with a lead-in — item id 007A, barcode ABC123, id P-5001, number 4500, lookup ABC123, look up ABC123. The lead-in is dropped and the rest fills the field.
• A quantity, after a scan brings you back here — quantity 20 · qty 20 · set quantity 20 · set qty 20, or just a number such as twenty. It changes the quantity of the item just added.
• done · finished · that's all · that's it · show list · show items → open the Cart.
• scan / scan code / scan qr → open the camera.
• clear → empty the barcode field.
• next / proceed → look up the ID now.
• search / search for <what you want> → open Search by keywords; a request such as search for pumps in B27 with voltage 220 fills the filters and searches 2 seconds later.

Cart — items in this transaction

Purpose — Review, change and submit the items in a transaction.

What you'll see

• Mic icon at the top
• A list of the items; each row shows:
  • The item number (1, 2, 3 …)
  • The item's name, then its ID · unit · price (ABC123 · each · $12.50; the unit and price only when known, the price only when above 0)
  • A quantity field you can edit
  • A properties button (form icon) → Item properties
  • A delete (trash) icon
  • Rows in alternating colors
• Buttons at the bottom (depending on the transaction type):
  • Scan / Scan Next Item
  • Add Item / Enter Next Item
  • Submit / Submit Transaction

Transaction complete

Purpose — Shows whether the transaction went through and offers the next step: a signature, the PDF, or back to Home.

What you'll see

• Mic icon
• A message ("Transaction was submitted successfully!" or what went wrong)
• Buttons (depending on your setup):
  • Next Transaction (success) or Back To Current Transaction (error)
  • Obtain Signature / Show PDF / Continue (when signatures are turned on)

Camera scanning

Camera — scanning a barcode

Purpose — The camera scanner. It works in two ways:

• One scan — scans one code and returns.
• Several scans in a row — collects codes with their quantities; "Done Scanning" returns them all.

What you'll see

• Full-screen camera view
• Scanning frame (its border flashes green when a code is read)
• Top right: Flash button, Close (×), Mic icon (when scanning several in a row)
• When scanning several in a row:
  • The number of items and a list of the scanned codes with their quantities
  • "Done Scanning" button

What you can tap

What you can say (when scanning several in a row)

• Quantity:
  • quantity 5 · qty 5 · set quantity 5 · set qty 5
  • quantity on its own — the app asks "Say the number."; then say the number.
  • A number on its own after that question sets the quantity of the last scanned item.
  • Loose phrasings work too: if speech hears "wanted twenty" as wanted to 20, the number at the end is used.
• done · finished · submit · that's all · that's it → return the scanned codes. Common mishearings of "done" (dun, dawn, tamp, ton) work too.

Camera — continuous scan (multiple items in a row)

Purpose — Scan several items in a row. Each code is checked with the server as you scan; valid items are listed with their quantities, and "Done Scanning" adds them all to the cart.

What you'll see

• Full-screen camera view
• Scanning frame (flashes green for a valid code; red, with a short vibration, for an invalid one)
• Top right: Flash, Close, Mic icon
• Right side: number of items and instructions
• Bottom: the list of scanned items (number, name and ID, quantity)
• "Done Scanning" button

Change or remove a row:

• quantity 5 (changes the last scanned item)

• The app confirms: "Item 2 quantity 10" / "Removed item 2"

When a code isn't valid, the message closes by itself after 2 seconds and scanning continues.

Loading screens (brief waits)

These three screens appear briefly while the app gets data from the server, and close by themselves when it's done. They have no buttons of their own; only the commands that work everywhere apply.

Loading from server

Validates one or more scanned barcodes against the server. Routes downstream based on context: into the Cart (transaction), Assembly lookup, Item details, or Add a new item.

What you can say: cancel / ok / okay / close / back → finish.

Looking up an item

Shows the stock breakdown for a single item — per-warehouse quantities and any property breakdowns (lots, serial numbers).

What you'll see — title, table (Location · Qty · expandable property details), OK button.

What you can say: cancel / ok / okay / close / back → finish.

Loading a group of items

Processes a transaction group (preset multi-item bundle), inserting all items into the Cart as a single batch.

What you can say: cancel / ok / okay / close / back → finish.

Looking up items and assemblies

Item details — view and edit

Purpose — See an item's full record, and change it. The screen has two modes: viewing (nothing can be changed) and updating (the fields can be edited).

What you'll see (viewing)

• Mic icon, Close button
• At the top: the item's ID and name
• Prices (sale, purchase, rent — when not zero)
• Location (for items kept in one place)
• The custom fields (name : value; photos and documents show as icons you can tap)
• Update button (switches to updating)
• Components button (for assemblies → Item lookup result)

What you'll see (updating)

• Only the ID and name at the top
• Each custom field can be edited: a list, text, a field that suggests values, a date, or a photo
• Cancel and Submit buttons

When the app asks you to confirm after Submit:

Photos and documents: image / photo / picture opens the first photo, pdf the first PDF.

Changing fields (while updating):

• set <field name> to <value> — for a text field, a list (the value doesn't have to be exact), or a date (say it naturally)
• clear <field name>
• For example: set expiry date to december 31 2025, clear comments, set color to red

While you're typing in a field, voice is ignored; it works again when you leave the field, or after Cancel or Submit.

Search by keywords

Purpose — Find items by any mix of item ID, name or group, location, a custom field value and job. Open it from Scan or enter an item: tap Search Items By Keyword(s) or say search. It works when you check stock, look up item details, or add items to a transaction.

What you'll see

• Search items at the top, with the mic and help icons
• ITEM ID and ITEM NAME OR GROUP
• LOCATION:
  • when checking stock, type a location or pick one of the suggestions
  • in an Issue or Transfer transaction, it is fixed to the transaction's From location
  • it is not shown when receiving items or looking up item details
• WITH CUSTOM FIELD and EQUALS TO — pick one of your custom fields (for example Voltage), then its value. Depending on the field, EQUALS TO is a text box, a list of allowed values or a date picker.
• ALLOCATED FOR JOB — only when your items can be allocated to jobs or projects
• Search and Clear Filters buttons

Fill in at least one filter before you search; otherwise you'll see "Please select or enter at least one filter to search." When nothing matches: "There are no matches for your query - please refine it."

What you can say

Say what you're looking for in one sentence, in any order:

• pumps in B27 with voltage 220 allocated for job 127
• item id 4500
• chairs with color red

The fields fill in and the search starts 2 seconds later; say search to start at once. A new sentence replaces the previous one. If this screen can't use the location you said, it is left out and a note tells you why. If a value isn't one of the field's choices, a note says so and the app waits for you to correct it instead of searching.

On Scan or enter an item you can say the whole request at once, for example search for pumps in B27: this screen opens filled in and searches.

To fill one field at a time:

• Say button and the field name, then the value: button item id … 1001. Or in one go: button item id 1001.
• set item name to pumps · set custom field to voltage · set equals to 220 · clear job
• For a list or date field, say button with custom field (or button equals to, button job) to open it, then say an option, a date such as December 1 2028, or cancel.

Field names you can say: Item ID (or ID), Item Name (or Name), Location, With Custom Field (or Custom Field), Equals To (or Value), Allocated for Job (or Job).

Buttons: search (or go, find), clear filters (or start over), and back / home.

While you're typing in a field, spoken sentences are ignored ("Finish typing, or say "button search"."), but button commands still work.

Saying item IDs and job numbers

• Say the letters and digits; the app removes the spaces that speech adds: a q b 60 1 → aqb601.
• Say dash for "-" and slash for "/": a q b 60 dash 1 → aqb60-1.
• Speech often hears the letter A as "hey" or "e". The app reads "hey" as A in a spelled ID, but "e" can't be told apart from a real E, so say alpha to be safe. Other phonetic-alphabet words work too: alpha quebec bravo 60 dash 1 → aqb60-1.
• If nothing is found, the app automatically tries once more with the value as you said it: words kept as words (tea dash 12 → tea-12 instead of t-12), or with its spaces (pump 12 instead of pump12).
• Values you type are never changed.

Locations and list values are found even without the dash or spaces: b 27 finds B-27, as long as only one entry fits.

Query Results

The matches open on Query Results:

• When checking stock, items are grouped by location under black bars, and each row shows the item ID, name and quantity. Otherwise each row shows the ID, name and group. Extra details, such as the custom field you searched by, are listed under each row.
• Tap i (checking stock, item details) to open the item's Item details.
• Tap + (in a transaction) to add the item, with its unit, price and available quantity, and open the Cart. back from the Cart returns to these results. If the item can't be added, a message says why — for example an asset or container that is already in the transaction ("AQB60-1 is already in this transaction."), or a non-inventory item in a Receive Lots transaction.
• Say info on 1001 (checking stock, item details) or add 1001 (in a transaction); the line at the top shows which. An exact ID acts at once; a close match asks first ("Show details for 1001?" or "Add 1001 to the transaction?"), so answer yes or no. An ID that isn't in the list gets "I couldn't find item "1001" in the results."
• scroll down / scroll up, back, home.

Item lookup result

Purpose — Shows the components an item (an assembly) is made of. Nothing can be changed here.

What you'll see

• Mic icon, Close button
• Title (the item's name)
• Table: ID · Name · Qty (rows in alternating colors)
• Component IDs in blue (tap one to open it)

What you can tap

• Close → leave the screen
• A component ID → open that component

What you can say

back / close / exit / home, and these buttons: Close, Exit, Back, Done, Home, Go Home.

Say a component's ID to open it. It doesn't have to be exact, and the characters speech most often confuses (0 and O, 8 and A) are tried too. The app shows "Opening <ID>".

Assembly lookup

Purpose — Shows, for each component of an assembly, how many are on hand and how many are required, by warehouse. Nothing can be changed here.

What you'll see

• Close → leave the screen

Purpose — Work out how many of each component you need to build a number of assemblies.

• Close, Recalculate, or a component ID (shows its stock in Looking up an item).

List of assemblies

Purpose — Enter the IDs of the components for an assembly transaction.

What you'll see

• Mic
• A row per component: name · qty · unit · ID field · QR-scan button · a check mark once filled
• Submit button

What you can tap

• QR icon on a row → scan that component's ID.
• Submit → confirm → the transaction is submitted.
• Mic → voice on or off.

What you can say

Item photo

Purpose — Full-screen image viewer (pinch-zoom).

What you'll see

• Zoomable image (max zoom 10×)
• Mic icon, Close button

What you can tap

• Close, pinch / double-tap to zoom.

What you can say

Universal: close, exit, back, home. Anything else triggers a hint: "Say close to go back." (No zoom voice commands — zoom is touch-only.)

Items at this location (crib)

Purpose — Pick several items from a crib (a stocked location) at once: enter the quantities and submit.

What you'll see

• Mic
• Group headers (black bars) with the items underneath
• Each row: ID · name · quantity field · unit
• Submit button

What you can tap

• Quantity field → type a quantity
• Submit → confirm → the items with quantities are added to the transaction

What you can say

Set a quantity: quantity <ID> <amount>, or just <ID> <amount>. For example "quantity resistor-100 5" sets 5 on the resistor-100 row; the ID doesn't have to be exact.

Asset stock at a location

Purpose — Find assets (items tracked one by one rather than by quantity).

What you'll see

• Keywords field with an × to clear it
• Search button
• Results grouped by asset name, with a row per location: Location · Qty · IDs

What you can tap

• Keywords, ×, Search, mic.

What you can say

Buttons you can say: Keywords, Search, Go, Find, Submit, Next, Clear, plus the commands that work everywhere.

Also:

• search for <keyword> · find <keyword> · look for <keyword> — fills in the keywords and searches.
• Anything else you say (when nothing is typed) is used as the keywords and searched.
• Once you type in the field, voice won't overwrite it.

Recent transactions

Purpose — Look through past transactions, one date at a time.

What you'll see

• Date list (every date that has at least one transaction)
• Table: a header for each transaction, then its items (name, ID, quantity)
• A properties button on rows that have extra details

What you can tap

• Date list — pick a date.
• Properties (when shown) — see the extra details.

What you can say

Buttons you can say: Date, Transaction Date, plus the commands that work everywhere.

Also:

• next / next date — the next date.
• previous / prior / previous date — the date before.
• Say a date to go to it; part of the date is enough, and spaces and dashes don't matter: "december 15" finds "December-15-2025".

Adding new items

Add a new item — pick how

Purpose — The first step of adding a new item: choose where it is (the location type, then the warehouse, site or person), then fill in its details.

What you'll see

• The item's name at the top
• Location-type button → a list (Permanent Location, Remote Site, Person, Self, Container, depending on your permissions)
• Warehouse button (Permanent Location only)
• Location field with a QR-scan icon (Remote Site, Person, Container)

New item — basic info (name, ID, group)

Purpose — Create a brand-new item (one the server doesn't have yet). You enter its type, division, ID, name, group, prices and unit of measure.

• Division list (if you have more than one division)
• Item ID field
• Item Name field (with suggestions)
• Item Group field (with suggestions)

New item — additional details

Purpose — A second form, after the basic info, when the server needs more details for the new item. The optional "Copy From" list copies the values from a similar item.

The commands that work everywhere, plus set <field> to <value> / clear <field>.

Item properties (custom fields)

Purpose — Fill in an item's own details while you add it to a transaction. Opens when you tap the form icon on a Cart row.

What you'll see — The item's ID and name at the top, a form with its details (lists, text, dates, fields that suggest values, photos, scan fields), and Submit and Cancel buttons.

What you can say

Fill in or clear fields:

• set <field> to <value> — for text, a list (the value doesn't have to be exact), a date (say it naturally), or a field that suggests values
